31 - Student Care Support Services Case Files

OPRStudent Conduct and Care
DescriptionRecords documenting care support services provided to Queen's students. It encompasses referrals, copies of resources, session notes, correspondence with students and related parties. Includes records of students referred to the Assessment and Care team (ACT) under the Student at Risk Policy.
Retention TriggerThe end of the academic year in which a case is closed.
Total Retention Check Final Action and Disposition Plan (if available).
Final ActionDP/D
Disposition PlanIf case type = General, keep records for 10 years after case close date, then delete. In some cases, records may be kept longer at the discretion of case managers.

If case type = Assessment and Care Team, keep records for 10 years after case close date, then delete. In some cases, records may be kept longer at the discretion of case managers.

If case type = Sexual Violence and/or Sexual Misconduct, keep records for 99 years after case close date, then delete.
Retention Rationale

Limitations Act, 2002, S.O. 2002, c. 24, Sched. B s.16 (1)

There is no limitation period in respect of a proceeding based on a sexual assault.
